How to Create a Flare Listing?

What is a Flare Listing?

A Flare Listing is the link between a Flare Party and a Flare event. It includes event-specific details of the party like for example information on products on sale in the event.

  • Flare Exhibitor Listing: A Party displaying, selling or representing something at the event outside of the formal program.
  • Flare Activity Listing: A Party that is part of the formal event program at a fixed time.
Where to fill in the listing details?

You can fill in your listing details when registering to an event. Updates to the listing details are made in the Flare.guide My Account section.

Entering listing details in an event

You can add a Flare Party which you have created yourself to an event. In addition, event organizers/administrators can add parties to the event.

When you add a party to an event, the event organizer will see also the contact details you have saved in Flare.guide (name, email, phone number).

Viewing and updating listing details in My Account

Updates to the listing details are made in the Flare.guide My Account section. There listings can have different statuses, please see explanations below:

  1. Awaiting approval - Your listing is only visible to the event organizer and awaiting approval.
  2. Draft - Your listing has been reviewed but the event organizer has not approved it yet (the event organizer will ask for more information from you if necessary).
  3. Rejected - Your listing has been rejected, please contact the event organizer for more information.
  4. Approved but updates required - Your listing has been approved but still requires an update (the event organizer will ask for more information from you if necessary). The listing will be published as is when the event site is published.
  5. Approved and complete - Your listing has been approved and it will be published when the event site is published.
  6. Update pending - You have submitted an update to your listing and it is awaiting approval. The old version will be visible to everyone until your changes have been approved.
  7. Published but updates required - Your listing has been published and it is visible to everyone. However, it still requires an update (the event organizer will ask for more information from you if necessary).
  8. Published and complete - Your listing has been published and it is visible to everyone.

If you cannot find your listing, make sure you have the right language selected. In order to remove a Flare Listing please contact the event organizer/administrator.

What are the elements of a Flare Exhibitor Listing?

A Flare Exhibitor Listing refers to a party displaying, selling or representing something at the event outside of the formal program. It includes the event-specific details of the exhibitor.

An exhibitor listing can include any or all of the following details, depending on what is applicable to the event.

  • Flare Party
    • Choose the Flare Party you would like to link to the event.
    • The listing URL (web address) will be based on the party name and cannot be changed later.
  • Title
    • Add event-specific title for the listing (max 50 digits).
    • This title shows 1) in the exhibitor directory (below the name of the party) and 2) on the exhibitor page above the event-specific information (with the event name).
    • Please do not use ampersand (&) in the title.
  • Description
    • Here you can add event-specific information like for example products on sale in the event.
  • Categories
    • Choose a category or categories which are relevant to your listing in this event.
  • Availability
    • Please provide an indication of when you are available at the event, in your own words.
  • Location at the event
    • Location can be shown either with a map or with a location code.
    • If a map is used in the directory, you can mark the location on the map 1) by typing the address in the field above the map (default) 2) by clicking the map. If you use the latter option, you can still type the address and additional information in the text field.
    • If the location is not confirmed yet, you can type text "Location will be confirmed later" in the text field.

What are the elements of a Flare Activity Listing?

A Flare Activity Listing refers to a party that is part of the formal event program at a fixed time. It includes the details of the program item.

An activity listing can include any or all of the following details, depending on what is applicable to the event.

  • Flare Party
    • Choose the Flare Party you would like to link to the event.
    • The listing URL (web address) will be based on the party name and cannot be changed later.
  • Title
    • Add event-specific title for the listing (max 75 digits).
    • This title shows in the 1) program directory 2) on the program item page above the event-specific details (with the event name).
    • Please do not use ampersand (&) in the title.
  • Description
    • Here you can add a description of the program item.
  • Categories
    • Choose a category or categories which are relevant in this event.
  • Day
    • Choose a day for the program item.
  • Starts, Ends
    • Choose a starting time for the program item (and ending time if known).
    • Starting times can be defined also later - if the field is left empty, the system shows text "Time will be defined later".
  • Place
    • Choose a place from the list for the program item.
    • Place can be defined also later - if the field is left empty, the system shows text "Place will be defined later".
  • Location in the event
    • Location can be shown either with a map or with a location code.
    • If a map is used in the directory, you can mark the location on the map 1) by typing the address in the field above the map (default) 2) by clicking the map. If you use the latter option, you can still type the address and additional information in the text field.
    • If the location is not confirmed yet, you can type text "Location will be confirmed later" in the text field.

What if one listing has multiple locations and/or times?

Please create one listing per location and time in order to show these correctly. You can use the same listing content for different locations and/or times. However, remember to mention in the listing that it has multiple locations/times, and this is one of them.
