How to Create a Flare Event?

What is a Flare Event?

A Flare Event is an event site that has been created in Flare.guide and can include the following sections:

We will create the Flare Event and its pages based on your requirements. We will ask you to send us the required event content - below you can see what content is required for each page. You can choose which pages you would like to include in your event.

Remember that if you link to static files, these are more difficult to maintain if the information changes.

Where to fill in the event details?

You will be able to enter the event data using the form on your My Account, after we have given you the event organizer rights to the system. More information coming soon!

Flare Event Sections
Event info and event header

The event info page and header include the following elements:

  • Event name
    • This will be shown in the event header.
    • Max 100 digits.
    • Please do not use ampersand (&) in the event name.
    • The event URL (web address) will be based on the event name and cannot be changed later.
  • Header text
    • Row 1: Date and place. Max 50 digits.
    • Optional row 2: E.g. short description on the event. Max 80 digits, not visible in mobile.
  • Image
    • Image shown in the event header.
    • Do not use a logo but other image that fits with the event from the theme and color point of view. Often a simple, clear, good quality image is most compelling for the end-users.
    • You have to have the right to use the image.
    • Technical requirements: aspect ratio 1:2, picture size min. 732x1464 pixels, file type .jpg or .png.
    • If you would like to include a logo, please embed it to the event image (it should not cover more than 20% of the image).
  • Page title
    • Short title for the event info page, e.g. "Event". Note that this term will also be used in the menu.
  • Description
    • Describe the most relevant matters regarding the event.
    • You can also create links to other sections, such as the program and exhibitor list, to make sure visitors find this information.
    • Consider that most visitors will visit this site on a mobile device and will likely not read this if it is too long.
  • Location
    • Mark the event location on a map.
  • Dates and times
    • Add event dates and starting and ending times in your own words.
  • Address
    • Address for the event, possibly other additional information, e.g. floor number.
  • Organizer
    • Name or short description of the event organizer.
  • Contact details. Add at least one of the following:
    • Email address
    • Phone number(s)
    • Feedback form link
    • Homepage link
    • Facebook link
  • Optional: Sponsors
    • Here you can add sponsor logos.

Exhibitor directory

An exhibitor directory includes a list of exhibitors and a map view. You can filter the search results by using categories, or you can search with a keyword.

The exhibitor directory will be created automatically when the exhibitor listing details are being published in the event.

The exhibitor directory include the following elements:

  • Directory page title
    • Short title for the exhibitor directory, e.g. "Exhibitors". Note that this term will also be used in the menu.
    • Max 20 digits.
  • Exhibitor listing page title
    • Short title for the pages that display individual exhibitor listings, e.g. “Exhibitor”.
    • This will be the same for each exhibitor listing page.
    • Max 20 digits.
  • Categories
    • A list of categories which are applied to Exhibitor Listings in this event.
    • Max 20 digits / value.
  • List
    • List of exhibitors will be populated automatically based on the selected listings.
  • Floor Map
    • This field should only be filled out if a static picture should be used to display a floor map in the map tab.
    • If this field is left blank Google Maps will be used to display the locations of each listing and the map will be filterable.

Program directory

A program directory includes a list of program items and a map view. You can filter the search results by using categories, or you can search with a keyword.

The program directory will be created automatically when the activity listing details are being published in the event.

The Program directory include the following elements:

  • Directory page title
    • Short title for the Program directory, e.g. "Program". Note that this term will also be used in the menu.
    • Max 20 digits.
  • Activity listing page title
    • Short title for the pages that display individual program items, e.g. “Activity”.
    • This will be the same for each Activity listing page.
    • Max 20 digits.
  • Categories
    • A list of categories which are applied to activity listings in this event.
    • Max 20 digits / value.
  • List
    • Program list will be populated automatically based on the selected listings.
  • Floor Map
    • This field should only be filled out if a static picture should be used to display a floor map in the map tab.
    • If this field is left blank Google Maps will be used to display the locations of each activity listing and the map will be filterable.

Program directory
News

You can add posts to inform your visitors of any updates. Posts include the following elements:

  • Image
    • Use simple, clear, good quality image.
    • You have to have the right to use the image.
    • Technical requirements: aspect ratio 1:1 (square), picture size min. 420x420 pixels, file type .jpg or .png.
  • Title
    • Max 100 digits
  • Date
    • This will automatically be set to the date that the post is created.
  • Text
    • The main content of the post.
    • For longer texts, a read more link will be displayed in the News list.
    • Every post can be opened to its own page.

Join the event

Flare.guide can provide the data entry process for event listings. This page is called Join the event page. If the event is open for everyone to join, this page will be linked to the event site.
